Parental Input Committee Charter

Guidelines
The Parental Input Committee (Committee) shall be made up of three (3) members of the Weston Soccer Board (WSB), nominated by the president and elected by a majority of a quorum of the WSB. One of the members shall be the chairperson of the committee. Elections for membership on the Committee shall be held annually. No member of the WSB shall serve for more than two consecutive terms.
Mission
The mission of the Committee is to consider all written or oral complaints, comments or the like (hereinafter "comments") regarding any matters pertaining to the business of the WSB, for the purpose of providing information and recommendations to the WSB in order to enhance the Weston Soccer program. The Committee is an advisory body to the WSB, and no other rights or obligations attach to its work.
Duties
The Committee is to meet from time to time to consider comments and to decide:
a. Whether given comment(s) merit a recommendation to the President of the WSB for further consideration by him/her;
b. Whether given comment(s) merit a recommendation to the President that the comment(s) (or any matters related thereto) should be placed on the WSB agenda for discussion or action by the full Board;
c. Whether the Committee will make a recommendation to the President or WSB as to a full or partial resolution of any matter raised by the comments; and, whether the proposed resolution should be considered by the President alone or by the full WSB.
Confidentiality
Effort will be made to ensure that all comments addressed to the Committee will remain confidential unless and until permission from the source of the comment is otherwise obtained.
In circumstances where the Committee determines that it is necessary to disclose a comment to do its work, the Committee shall ask the author of the comment for permission to disclose it, and unless such permission is granted, the Committee may decline to further consider the merits of the comment.
Conflicts
In the sole discretion of the Committee, confidential minutes of the Committee may be maintained. To protect confidentiality, only members of the Committee and the executive committee of the WSB, are to have access to any non-published comments, minutes or any materials related thereto. At the discretion of a majority of the Committee, minutes or other materials related thereto that involve a member of the executive committee will not be shared with that member, and the materials may be segregated in a separate file.
Where a comment pertains to one or more members of the Committee, then the comment should be directed to the President, who shall have the discretion to exclude the member or members of the Committee from consideration of the comment. If, in the President's sole discretion, the matter merits consideration, the President may appoint substitute members of the WSB to consider the comment.
Decisions
Subject to the limitations contained in the sections on Confidentiality and Conflicts, any member of the Committee has the power to bring any matter raised before it to the President or before the full WSB.
When a matter is brought before either the president or the WSB, the position, if any, of each member of the Committee is to be communicated. Written positions of the Committee are not required.
Destruction
Once a year the Committee shall have the power, in consultation with the President, to destroy any and all minutes or related material that come before it.
